What responsibilities does our club have?

Annual Expectations

Annually, two requirements must be fulfilled in order to obtain official status as a Chartered Club. (Both established and new clubs must meet these requirements.) The documents must be submitted to the ASCC Clubs Commissioner and the ASCC advisor.

  1. First, each new club must submit a typed copy of the club’s constitution. Any club chartered during the preceding year must submit a written verification that the club constitution on file is valid for this current academic year.
  2. Second, each organization must complete and submit all forms in the Request to Organize a New or Returning Club packet.
Semester Expectations
  1. Student Activity Request form and facilities use form for meeting place and times must be completed at the start of each semester.
  2. At the end of each semester, the club advisor must file an activities report with the ASCC Clubs Commissioner, or a delegated appointee.
Monthly Expectations

Monthly, the minutes of the organization’s meetings must be filed with the ASCC advisor and the director of Fiscal Services office. The club’s minutes must include all financial matters, attendance, and activities. Note: No financial transactions will be approved without club meeting minutes attached to an ASCC Budget Request form.

Weekly Expectations

Weekly, each recognized club must have an elected or appointed person to serve as the group’s representative to the ASCC Student Senate. This individual should attend the weekly meetings of the Student Senate on the SLO Campus and serve as a voting member of that body.

Reminder: For any money approval needed from individual club accounts, minutes must be attached to the ASCCBudget Request form and submitted to the ASCC Financial Liaison before approval is granted in Senate.

CA Ed Code — 76063. The funds shall be expended subject to procedures that may be established by the student body organization subject to the approval of each of the following three persons, which shall be obtained each time before any of the funds may be expended: an employee or official of the community college district designated by the governing board (director of Fiscal Services); the certified employee who is the designated advisor of the particular student body organization (club advisor); and a representative of the particular student body organization (club treasurer).
